For letting agencies

Run the branch,
not the admin

Client money you can defend under audit. Compliance you can evidence at portfolio scale. Landlords who stop ringing because they can already see the answer. And property managers who can hold twice the doors without burning out.

0

Median doors per property manager on Xperty, against an industry norm nearer 120

0

Typical month-end close, down from three to four days

Client money

The part that ends
careers, done properly

Client Money Protection is mandatory for agents in England, Wales and Scotland. Xperty was designed around the accounting discipline those schemes require — not adapted to it afterwards.

Month-end as a checklist, not an ordeal

Reconciliation runs continuously rather than at the end. By the time you reach month-end, the only genuinely human decision left is approving the payment run.

  • Ring-fenced client accounts per branch or per entity, with segregation enforced in the ledger, not just in policy.
  • Daily three-way reconciliation between bank, ledger and landlord balances, with variances isolated to the transaction.
  • Accountant's report pack generated on demand — the schedules your reporting accountant asks for, already formatted.
  • Segregation of duties with approval thresholds, dual authorisation on payment runs and an unalterable audit log.
  • Propertymark & RICS aligned — mapped to the accounting requirements of the main UK client money schemes.

At scale

What changes when
a manager holds 200 doors

Not effort — leverage. The routine work runs itself, and the exceptions come to the top of a list rather than surfacing as an angry phone call.

Work queues, not inboxes

Every manager opens to a prioritised list: overdue rent, expiring certificates, jobs past SLA, approvals waiting. Nothing lives only in someone's memory.

Compliance you can prove

A live register across the whole managed book, filtered by landlord, branch or local authority — and an export that satisfies a licensing officer on the day they ask.

Branch & group reporting

Fee income, managed stock, arrears ageing, void days, renewal rates and manager workload — by branch, consolidated for the group, exportable to the board pack.

White-label portals

Your brand, your domain, your tone. Landlords see statements, certificates and job progress; tenants report repairs and see their documents.

Roles & permissions

Negotiators, property managers, accounts, directors and auditors each see exactly what they should. Client money functions locked to the people who hold them.

Ombudsman-ready files

When a complaint arrives, the file assembles itself: every message, notice, job, inspection and payment, dated and in order. Usually an hour's work, not a week's.

Beyond lettings

Block, BTR
and student

The same platform handles the neighbouring disciplines most agencies end up in whether they planned to or not.

Block & leasehold

Service charge budgets and apportionment, reserve funds, section 20 consultation tracking, ground rent demands and per-scheme reporting to leaseholders.

Build to rent

Scheme-level occupancy and rent roll, amenity bookings, resident communications, and operator reporting your investor actually wants to read.

Student & HMO

Room-level tenancies, joint and several liability, guarantor tracking, cycle-based turnover and HMO licence conditions enforced per property.

“Our reporting accountant used to take three days over the client account. Last year she was finished before lunch and asked what we were running. That is not a sentence I expected to say about software.”

Switching

Three weeks, and
we do the heavy part

We have migrated books from Reapit, Alto, Jupix, Vebra, Arthur, Landlord Vision, Fixflo and a great many spreadsheets. Nobody has ever lost a penny of client money in the process, and we intend to keep it that way.

WEEK ONE

Extract & map

We take a full export from your incumbent system — properties, tenancies, landlords, ledgers, documents and certificates — and map it into Xperty. You get a reconciliation report before anything is committed.

WEEK TWO

Parallel run

Both systems run through a full rent cycle side by side. Every receipt, every landlord balance and every commission line is compared. You do not switch until the two agree exactly.

WEEK THREE

Switch & train

Two half-day training sessions per team, role by role. Your portals go live under your own brand and domain. Landlords receive a launch email written with you, not at you.

FIRST 90 DAYS

Named onboarding lead

One person who knows your book, reachable directly, through your first three month-ends. After that you move to standard support — with the same team, not a different queue.

Bring your own
managed book

Send an anonymised export and we'll load it before the call, so you're looking at your own tenancies rather than someone else's demo data. Forty-five minutes.
